Expense Management for Indian Shops: kharcha, cash in and cash out, all dated

Zobaze POS is a free billing app for shops in India with a built-in expense manager and cash book, on Android. Log any kharcha in seconds with its amount, category and a note: the wholesaler payment, the shop rent, a staff salary, the electricity bill. Every entry carries a date, so you can record yesterday's kharcha today. Your staff can add expenses from their own login, and Reports puts spending next to sales. It's the shop's hisab kitab, cash in and cash out, and it works offline in the same app you bill from.

Every kharcha with its date, category and note

Last updated: 12 July 2026

How shops track kharcha with Zobaze POS

A paper diary tells you what you spent only if you kept writing in it. Zobaze POS keeps the habit easy: a kharcha takes seconds to log, every entry is dated and categorised, and the same app already has your sales, so the two sit together instead of in two different books.

Log a kharcha in seconds

Open Income & Expenses, type the amount, pick a category like Supplies, Salary, Rent, Bill or Transport, and add a short note so you remember what it was. That's the whole entry. The quicker it is, the more honestly the book gets kept.

Backdate an entry to the day it happened

Forgot to note Friday's wholesaler payment? Every entry carries its own date, so you can add a past day's kharcha and keep the record on the day it actually happened, not the day you remembered.

Staff can add expenses too

Give each staff member their own login with the Premium plan, and they can record an expense from their phone the moment they pay the ice seller or fill fuel for a delivery. Every entry lands in the same Cashbook that you see. Across Zobaze shops worldwide, almost half of all expense entries are made by staff, not owners: it works because nobody has to wait for the malik's phone.

Spending next to sales, every day

Reports shows your sales and your expenses together, with a simple sales-minus-expenses figure for the period. It's a daily pulse of the shop, the hisab at a glance, not a chartered accountant's P&L statement.

Income entries, not just expenses

Money that comes in outside the counter has a place too: cash you put in to buy stock, a loan you received, an old due that finally arrived. Log it as income with a date and note, so the Cashbook tells the whole story, not just the spending half.

Works offline, like the rest of the app

A weak signal shouldn't decide whether a kharcha gets recorded. Expense entries work offline, save on the phone and sync to the cloud at least once a day when you're back online, the same way billing does.

Staff log the small stuff from their phone; it lands in the same Cashbook

Start tracking shop expenses in four steps

From download to a Cashbook that finally matches the drawer, with no training and no computer.

1

Download Zobaze POS and open Income & Expenses

Install the free app from Google Play, set up your shop, and open Income & Expenses from the menu. That's your Cashbook: cash out on one side, cash in on the other.

2

Log today's kharcha

Enter the amount, pick a category like Supplies, Salary, Rent or Bill, and add a note. Missed a day? Set the entry's date to the day it actually happened.

3

Give staff their own login

On the Premium plan, each staff member gets their own login, so whoever pays the wholesaler or fills fuel records it on the spot. You see every entry in the same Cashbook.

4

Check the hisab before you close

Open Reports at the end of the day to see sales next to expenses, with a simple sales-minus-expenses figure for the period. No more totalling a paper diary at midnight.

Shop expense management: frequently asked questions

Logging expenses

Yes. Every entry carries its own date, so you can record Friday's kharcha on Monday and it sits on Friday in the Cashbook. That keeps the record honest even when the day was too busy to note it at the time.

Partly. You tag each entry with a category like Supplies, Salary, Rent, Bill or Transport, and the Cashbook lists entries with their categories by date. The app does not yet show a total per category, so treat categories as labels on the list rather than a category-wise report.

Yes, in the everyday sense. Income & Expenses is a dated cash book: cash out on one side, cash in on the other, each entry with a category and note. The difference from a standalone cash in cash out app is that it lives inside your billing app, so the shop's sales sit next to the kharcha in Reports. It is not accounting software; it's the daily hisab kitab.

No. Your counter sales live in the billing screens and Reports, and Income & Expenses is a separate Cashbook for money outside the bill: kharcha going out, and cash coming in like capital you add or a loan you receive. Reports is where the two meet, showing sales next to expenses for the period.

Staff & control

Yes. On the Premium plan each staff member gets their own login, and they can record an expense from their phone the moment they spend, whether it's ice, fuel or a supplier payment. Every entry lands in the one shared Cashbook that you see. There's no separate approval step, so it suits a shop where the owner checks the book daily.

No. Zobaze POS is a billing app with a simple daily Cashbook: the shop's hisab at a glance, not bookkeeping. There is no ledger posting, no balance sheet and no ERP module. If you need full accounting for tax filing, your accountant's software does that job; Zobaze keeps the daily record that makes their work easier.

It shows a simple figure: sales minus expenses for the period, plus a per-item margin when you set cost prices on items. That is a daily pulse, not a true net profit or P&L statement, because it doesn't account for stock value, depreciation or taxes. For most small shops the daily pulse answers the real question: did the shop earn more than it spent?

Offline & plans

Yes. Entries save on the phone even with no signal and sync to the cloud at least once a day when you're back online, the same way billing does. A weak network never decides whether the kharcha gets written down.

Yes. Income and expense entries are part of the free plan, alongside unlimited billing and up to 100 items. The free plan shows the last 7 days of reports; Premium unlocks the full history plus staff logins, so staff can add expenses from their own phones. Check current Premium pricing in the app.
